We are currently seeking an Administrative Assistant – Wellness to work at an upscale corporate fitness center in New York, NY.


Provide support for the Wellness Administrative Team and customer delivery of the Wellness function at our corporate client’s site.


VP HCM Wellness and Plus One Account Manager


  • 4 years equivalent of work related experience
  • Bachelor’s degree a plus
  • Ability to multi-task between projects; strong organization skills/attention to detail
  • Excellent written and verbal communication skills
  • Advanced computer skills including, but not limited to Word, Excel, and PowerPoint
  • Teamwork/collaboration; client and service oriented
  • High degree of integrity and confidentiality


  • Provide Administrative Support for Wellness Administrative Team
    • Manage calendars; schedule and arrange various complex meetings including room reservations, dial-in, video conference, attendee lists, time zones and register visitors
    • Arrange senior-level meetings (book rooms and make necessary arrangements, food, etc.)
    • Maintain team contact list
    • Create/manage various distribution lists (i.e. hcm-wellness-ny, hcm-mloa-ny, etc.)
    • Make travel and conference registration arrangements; prepare other travel logistics (i.e. passports, visas, petty cash, AT&T long-distance calling cards etc.), reconcile T & E
    • Order office supplies
    • General admin (i.e. copying, faxing, filing, couriers)
    • Sort and distribute mail
    • Act as liaison to vendor staff when admin problems come up (learning exchange conference room availability, using services at my desk, email account set-ups, etc.)
    • Liaison with vendor clients around meeting requests and site visits o Liaison to Corporate Services regarding facilities, relocations and office moves
  • Cover MD/VP phones for all areas of Benefits & Wellness as well as other departments as necessary
    • Screen calls and direct to the appropriate person
    • Escalate crisis calls as necessary
    • Answer Wellness Information line and direct callers to appropriate resource(s)
    • Back-up phone coverage for Reward Leadership Team
  • Provide word processing support (i.e., reformatting spreadsheets or PowerPoint presentations)
  • Personal Support for Global Head of Benefits& Wellness
    • Archive/organize files as needed
    • Maintain personal file folder o Maintain membership eligibility
  • Assist with team social events (i.e. afterwork events, holiday events, birthdays, showers etc.)
  • Other projects as assigned
