Manager of Agency Operations

Responsible for the day-to-day operation at the Agency to ensure that a comprehensive, best-in-class, health and wellness program is delivered to our clients and their employees. Travel may be required.
- Implement the policies and Standard Operating Procedures for all departments of Agency.
- Ensure the operations are running efficiently.
- Manage and oversee the Wellness Account Manager and Sales Consultant.
- Track and determine workload capabilities and efficiency of departments overseen.
- Recruit, interview, hire and set up training of additional employees as necessary.
- Be the first point of contact for all IT, HR, Technical and office functionality issues.
- Conduct employee evaluations for departments overseen.
- Conduct cost analysis assessment regarding client on sites, client participation requirements, travel, rental expense, third party vendor charges, offered services and all things as they relate to the viability and success of the Agency.
- Assist the Wellness Account Managers in evaluating a client’s progress based on engagement and aggregate reporting.
- Analyze book of business trends with regards to client engagement.
- Conduct and attend employee and management meetings to keep lines of communication open and share ongoing updates.
- Participate in ongoing training for all things related to the Wellness industry and operations, such as HIPAA, HSA/HRA, Vitality trainings, Management training, etc.
- Review client service contracts and BAA’s and ensure signed copies are available and up to date.
- Monitor & validate third party reports for accuracy, and compile feedback from key stakeholders to determine if third party vendors are meeting client expectations.
- Involvement in the area of AR/AP and other functions related to revenue and profit and loss reporting.
- Assist sales team with the completion of RFPs and additional prospect questions.
- Payroll management, including tabulation of accrued employee benefits.
- Regular meetings with Agency Managing Director around fiscal planning.
- Improve the operational systems, processes and policies in support of organizations mission — specifically, support better management reporting, information flow and management, business process and organizational planning.
- Contribute to short and long-term organizational planning and strategy as a member of the management team
Required: Bachelor’s degree.
Required: Five years of experience in operational management with three years of project management experience.
Preferred: Health and wellness background.
- Local, regional and statewide travel may be required.
- Training will include four weeks in Chicago.
